Council Venue Hire

From workshops and classes, to private weddings and corporate functions. Council has number of venues and open spaces available to hire that will suit a range of community, private and commercial events and ceremonies.

Cook Shire Council supports and encourages events and festivals that showcase our diverse region. Events provide an opportunity for economic growth and support stronger community spirit, participation and engagement; all important aspects of life within Cook Shire.

Council proudly provides a vast array of accessible multipurpose venues and facilities across the Cook Shire region.

Council welcomes the community to hire these venues, parks and ovals for social or corporate events.

An Event Information Kit has been developed to assist organisations, individuals and community groups who are planning events in Cook Shire. The kit provides an overview of key aspects of the event planning process and is designed to assist you with Council’s requirements and procedures.

 

BOOKING A COUNCIL VENUE

  1. Complete the Venue Hire Booking Form and the Details of Customer Form*.
  2. Submit the completed venue hire booking form along with all supporting documents  to Cook Shire Council,
    • Submissions can be made in person at Cook Shire Council located at 10 Furneaux Street, Cooktown or via email at 

3. Cook Shire Council’s customer experience team will review the lodged application, assess availability, calculate the associated fees and charges and determine whether any additional permits and/or licenses are required for the event.

4. Applicant then processes the applicable venue hire fee and bond payment.

5. Booking confirmed.

6. At the conclusion of the hire period, an inspection of the venue is conducted. Upon successful inspection, the bond will be returned to the applicant.

Fees and Charges associated with venue hire are outlined in sections 4 and 5 of the Venue Hire Booking Form, Terms and Conditions are outlined in section 9.

ADDITIONAL PERMITS

If your event involves selling food, closing a road, requires exclusive use of an area, or is a certain size or frequency, you may need further approvals or permits:

Temporary Entertainment Event Permit: If your event is a community or entertainment event that is open to the public, requires exclusive use of an area (indoor or outdoor) &/or has an expected attendance of more than 200 people – a Temporary Entertainment Event application is required.

Food: If you intend to provide or sell food at your event, a Temporary Food Licence is required.

Closing roads: If you wish to hold an event on a Council road, you will need to submit a Temporary Road Closure application.

Any additional permits have to be lodged and submitted within the necessary timeframes and may incur application processing fees.

*Details of Customer – Accounts Payable/ Receivable form is a necessary requirement in order to process bond refunds.


Police Party Registration

Any events or functions involving:

  • the consumption or presence of alcohol
  • the possibility of excessive noise
  • public/ community involvement

Require a police party registration to be completed with the Queensland Police Service.

Register your event with the Party Safe Initiative and submit confirmation of registration to Council.

VENUE KEYS

Certain venues will require the applicant to collect the venue keys from the Council’s main administration building. The applicant will be informed upon booking confirmation if a key collection is required.

Keys are to be collected from Cook Shire Council main administration building located at 10 Furneaux Street, Cooktown on the last working day before the booking date, between 8.30 am and 4.30 pm Monday – Friday. Keys are to be returned prior to 4.30 pm the next working day.

Failure to return keys/ loss of keys will incur a replacement fee, which will be deducted from the applicant’s bond.
